Annual Business Meeting Minutes

Announcements (Karen)

  • Karen thanked the American Physical Society (APS), the sponsor of the 2003 business meeting.
  • Welcome to special guest/SLA observer: David Stern.
  • Reminder to get green voter card in order to vote at Wednesday's SLA business meeting.
  • Tuesday no-host dinner: meet at 6:30 PM in Hilton lobby with volunteer coordinator Ruth Kneale.
  • Retirees: Ellen Bouton and Myrna Koch are retiring this year.
  • Sandy Kitt described the logistics for the Rose Center tour on Thursday.

Secretary's Report (Laurel)
2002 Business Meeting minutes were printed in the August 2002 PAM Bulletin; 2003 Business Meeting minutes will be printed in the August 2003 PAM Bulletin.

Treasurer's Report (Alison Verbeck)
There is currently $22,000 in the pooled fund. Approximately 40-50% of the NYC conference costs have been paid out. The full report will be in the August Bulletin.

Committees/Projects Reports and Updates (Karen, unless otherwise indicated)
Hospitality: Carol Hutchins has done an excellent job. Special thanks to Judy Matthews for stepping in and doing signage for the conference.
Membership: Report was in May 2003 Bulletin. The American Mathematical Society published the PAM directory.
Networking: The PAM Web site has moved to the SLA server.
Bulletin: Parker Ladwig will be editor for another year.
Strategic Planning: New strategic plan has been completed by Greg Youngen and the committee.
Archives: Sara Rutter has handed duties over to JoAnn Sears.
Cataloging: David Bigwood is continuing as chair of the committee.
PAMnet: David Stern is continuing as listowner and moderator. Debra Bailey has served as PAMnet monitor, providing a summary of discussions in the Bulletin.
Procedures Manual: Pam Yorks continues to keep it up to date.
Continuing Education (Bill Armstrong): Seven attendees at 2003 CE course.
Mentoring Subcommittee (Emily Poworoznek): Buddy program continued at this year's conference.
Translation Project: Bob Michaelson gave update at the PAM-Wide round table.
International Relations: Had a very active year in preparing Wednesday's session and selecting this year's award winner.

2002-2003 Final Board Meeting - Summary Report (Karen) The board met on June 8, 2003 and made a few decisions:

  • Reconfirmed raising support for chair and chair-elect to attend annual and mid-year conferences to $750 each for each meeting (chair and chair-elect first solicit funds from their own institutions; full amount has not yet been required for any conference)
  • Accepted strategic plan presented at PAM-Wide Roundtable
  • Role of Web manager will be merged with position of Networking Committee Chair
  • With the August 2003 issue of the PAM Bulletin, the PDF will be the version of record
  • Conference programming (audiovisual equipment): Michael will take lead for Nashville. He will look at having a pilot project for having an LCD at Astronomy Roundtable and ask for comments (NOTE: at this conference, having an overhead projector for a session cost $100 while an LCD would have cost $1,200 not including a laptop).

Awards
The PAM Awards Committee this year consisted of Molly White, Bert TePaske-King, and Alice Primack, chair. We are very pleased to make three awards this year.

PAM International Member Award: Umran Kandemir. Umran will be presenting at the IRC session on Wednesday and will serve on the International Relations Committee on the next two years.
NOTE: Christina Birdie, our first IMA winner was honored with the SLA Diversity Leader Award this year.

PAM Division Award: This award is given for a significant contribution to the literature of physics, mathematics, or astronomy or to honor work which demonstrably improves the exchange of information in physics, mathematics or astronomy and should also significantly benefit libraries or enhance the ability of librarians to provide service.

Our winner of the PAM Division award this year is Evan Owens, newly with JSTOR, formerly of the University of Chicago Press. Those nominating Evan Owens point out that he is responsible for making the journals of the American Astronomical Society available as full-text electronic journals at a time when the e-journal idea was merely a glimmer of an idea at other societies and commercial publishers. In 1991, Evan participated in a group of experts who brainstormed ideas for making the astronomical literature available to the community electronically. Working closely with others, Evan took the idea and ran with it, overseeing the myriad technical issues, dealing with equations and gray-scale figures as well as text, incorporating enhancements possible only in the electronic format, and helping to create an institutional use license that has become the model followed by others. Evan listened and paid attention to the concerns of libraries and librarians and has been a tireless evangelizer for the electronic access he helped to craft. Evan's new title at JSTOR is Chief Technology Officer, Electronic-Archiving Initiative, so we expect to see more great things from him.

Congratulations to Evan Owens on receipt of the PAM Division Award for 2003!

PAM Achievement Award: The PAM Achievement Award is reserved for Division members whose professional work is marked by distinction and dedication to librarianship in physics, mathematics or astronomy. The purpose of the award is to recognize those members who have made outstanding contributions to the Division. The award this year goes to Carol Hutchins who is the head of the Courant Institute of Mathematical Sciences Library at NYU.

Those nominating Carol pointed out her keen professional approach, which is widely appreciated by her PAM colleagues. Carol has been an active member of the PAM Division since the early 80's serving as chair, heading committees, and organizing workshops. Last year she participated in teaching the mathematics portion of the PAM CE course, and this year we can thank Carol for her good work in planning the hospitality arrangements for this meeting. She has also been active in SLA chapters as she has moved around the country. Carol's contributions to our Roundtables and to the listserv are thoughtful and she has a knack of asking questions which go right to the heart of the matter. She understands the people and the concepts of mathematics and is always ready to share with both the new and experienced mathematics librarians.

Beyond PAM Carol is valued by the mathematics community at large. She served two terms on the AMS Library Committee, the SIAM advisory group, and she is currently the Editor-in-Chief of Computing Reviews. Her knowledge of the mathematics literature is all encompassing, and she networks worldwide with mathematicians and publishers as well as colleagues. She has supported quality publishing at a reasonable cost, and has long been a proponent of alternative publishing initiatives. Please join me in congratulating Carol Hutchins on her receipt of the PAM Achievement Award for 2003!

Our Award winners will be treated to a gala Awards Dinner this evening. We look forward to continued association through the years with Evan and Carol.

Pam Yorks: People that are leaving office or committees need to review the manual and send suggestions for changes to her.
David Stern: In his experience as an SLA Board member over last four years, he has not seen a group in SLA as progressive and fun as PAM.
Karen Croneis: Thanks to all committee chairs, members, roundtable moderators, others for making the conference happen.
General: Publisher liaisons group will meet directly after this meeting.
