Chapter Visits by the President and President-Elect
Each Chapter may be visited by the Association President or President-Elect upon invitation from the Chapter. The large number of Chapters makes it necessary to consider time, distance and SLA budgetary limitations. The number of visits shall not exceed eight per officer per year.
Procedure
A Chapter may request a visit by submitting a visit request form to the Chapter Cabinet Chair-Elect (see form below) prior to the Leadership Summit of the Association so that visits for the next year may be planned by the incoming SLA President and SLA President-Elect while they are at the Summit. Due to the large number of requests that are received, please note in the “Additional Information Box” if the chapter will be able to fund a portion of the visit in addition to meeting registration and local transportation. Chapters are often able to fund hotel, host in a chapter member’s home for overnight accommodations, and/or all or a portion of airfare.
Responsibilities of the Chapter
Chapters should plan well in advance when they want a visit. Chapters may consider special events, such as anniversaries, as appropriate occasions for a visit by the President or President-Elect.
Following the establishment of the dates for the Chapter visit, the Chapter should extend its formal invitation, which should outline any plans and make inquiries about interests or desires of the President or President-Elect as to the local itinerary or accommodations. Supplementary information may be added to the bottom of the form.
If the visitor requests, the Chapter shall make local hotel reservations and travel arrangements and notify the visitor accordingly. Normal expected expenses of the Chapter include the costs of the visitors meals at meetings and local transportation, etc. If the chapter is able to include the visitor’s hotel costs or travel expenses from his/her home city, please note.
The Chapter should plan the local schedule allowing for the following:
- Ample time for conferences with Chapter Officers;
- A Chapter meeting, at which the visitor is to be the only speaker;
- Public relations appearances such as radio, television, newspaper interviews, library schools, etc.
- Visits to representative libraries;
- Sufficient time for relaxation and attention to personal needs.
A copy of the schedule shall be sent to the visitor in advance with a copy to the Chapter Cabinet Chair-Elect. This schedule shall list the names and places to be visited as well as the names of the hosts or contact persons.
A report of the visit in the form of clippings of local publicity or any available photographs should be forwarded to the Association Office as soon as possible after the event.
